What Claude is, in plain words

Claude is an AI assistant made by Anthropic. You write to it like you would to a capable assistant, and it reads, writes, summarises and works through problems with you. For a small business, the useful part is simple: Claude is very good at first drafts. Emails, replies, reports, quotes, posts and plans that would take you an hour take Claude a minute. You stay in charge by checking and approving the draft.

Claude can also connect to tools you already use, such as your email, calendar, documents and some business apps, so it works from your real information instead of a blank page. What you can connect depends on your plan and the apps you use, so start with the jobs below and add connections as you go.

7 jobs Claude does well for a small business

  1. Replying to new enquiries fast. Paste or connect the enquiry and Claude drafts a friendly first reply with the right next step. Speed matters: the business that answers first often wins the job.
  2. Customer and order emails. “Where’s my order?”, returns, delivery questions and FAQs. Give Claude your policies once and it drafts consistent answers.
  3. Weekly reports in plain words. Export your sales or ad numbers and ask Claude what changed, what’s working and what to look at. You get a one-page summary instead of a spreadsheet.
  4. Quotes and proposals. Share your template and call notes, and Claude turns them into a tidy quote or proposal you just check.
  5. Social posts and newsletters. Give Claude a few examples of your writing and it drafts posts and emails that sound like you.
  6. Call notes to follow-up. Paste rough notes after a call and Claude writes the follow-up email and the next steps for your CRM.
  7. Review replies. Claude drafts thoughtful replies to Google and product reviews, and spots patterns, such as three people mentioning the same problem.

How to set it up in 4 steps

1. Pick your two biggest time-wasters

Don’t try to automate everything. Choose the two jobs that eat the most hours each week, usually enquiries and customer emails, or reporting.

2. Give Claude your rules and examples

Write down how you like things done: your tone, prices, policies, and two or three good past examples. Keep them in one place Claude can use each time, so every draft follows the same rules.

3. Connect the tools you trust

Connect email, calendar or documents only where it saves real time. Start with read access and drafts. You can widen access later once you trust the results.

4. Keep the “draft, then approve” rule

Claude drafts and a person approves anything that goes to a customer. This one rule avoids nearly every AI mistake you read about.

What not to hand to Claude

  • Sending messages to customers without a person checking them first.
  • Payments, refunds or anything that moves money.
  • Final legal, tax or medical decisions. Claude can help you prepare questions for your adviser.
  • Private customer data you have no reason to share. Only connect what the job needs.

Where to start this week

Pick one job, write your rules on one page, and let Claude draft that job for five working days. Count the minutes saved. If it works, add the second job. Most owners find the time saving is obvious within a week, and that’s the point to decide on deeper connections to your store, CRM or ad accounts.

Common questions

Can Claude run my business on its own?

No, and you wouldn’t want it to. Claude is best as a fast first-draft writer and analyst. A person should approve anything that reaches a customer.

Is Claude good for small businesses in Australia and the USA?

Yes. The jobs that save the most time, such as enquiry replies, customer emails, reports and quotes, are the same in both countries. Give Claude your local details, such as AUD or USD prices and your policies, so drafts are right for your customers.

What should I automate first with Claude?

Start with the two jobs that take the most hours each week. For most small businesses that is replying to enquiries and answering customer emails, or writing weekly reports.

Is it safe to connect Claude to my email?

Connect only what the job needs, start with drafts rather than sending, and keep a person approving anything that goes out.
